Position Summary

This is a hybrid role that integrates School of Nursing–wide clinical placement coordination with Portland campus–focused student advising and recruitment support. The Coordinator manages and oversees student clinical placements and clinical contracts for the School of Nursing and ensures compliance with agency and regulatory requirements across campuses.

In addition, the Coordinator serves as a primary advising and support contact for Portland campus nursing students, assists prospective Portland campus applicants with the admissions process, participates in recruitment activities, and supports student progression and retention. This role works closely with faculty, university offices, and clinical partners to ensure high-quality clinical learning experiences, accurate academic guidance, and a positive and well-supported student experience.

Essential Responsibilities

  • Clinical Placement Coordination and Compliance (School of Nursing): Manage and oversee clinical placements for the School of Nursing across campuses in consultation with faculty and leadership. Acquire and maintain clinical placements in alignment with program needs and StudentMax timelines. Maintain and oversee clinical contracts for the School of Nursing in collaboration with the Dean. Coordinate student and faculty onboarding requirements for clinical agencies and track compliance across campuses. Serve as the School of Nursing representative to StudentMax Connection and participate in monthly meetings. Communicate placement and compliance status to faculty, students, and leadership. Address and escalate placement issues in collaboration with faculty, campus program directors and Dean.
  • Student Advising, Support and Retention (Portland Campus): Serve as primary advising contact for Portland campus nursing students. Provide academic guidance related to progression, registration, graduation, and program requirements. Advocate for students when academic or personal concerns arise and connect them with appropriate resources. Maintain accurate student records and coordinate with Academic Records and other university offices. Manage VA certification and records for eligible students. Keep the Dean informed of student progress, concerns, and trends impacting retention or success.
  • Recruitment and Admissions Support (School of Nursing): Serve as point of contact for prospective Portland campus nursing applicants. Provide accurate information regarding Portland program structure, prerequisites, admissions processes, and timelines. Participate in recruiting activities such as Oregon Transfer Days and admissions events. Serve as a member of the Nursing Admissions Committee.

Qualifications

  • Education: Bachelor's degree preferred.
  • Experience: 2–4 years of experience in administrative, office, or operational roles involving information management, coordination, and communication.
  • Strong organizational and project management skills with the ability to manage complex, overlapping timelines.
  • High attention to detail and commitment to regulatory, contractual, and institutional compliance.
  • Excellent written and interpersonal communication skills with students, faculty, and external community partners.
  • Demonstrated ability to support students in academic and personal challenges using a student-centered approach.
  • Ability to manage confidential and sensitive information with discretion and professionalism.
  • Comfort working independently while collaborating closely with faculty and administrators.
  • Receptive to feedback, willing to learn, embracing continuous improvement.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, Teams, and PowerPoint) and comfort using multiple technology platforms to manage student, academic, and compliance data.
  • Preferred: Experience with or ability to quickly learn institutional and educational systems such as myWWU, D2L, ACEMAPP, and other student information, learning management, or clinical placement platforms.
