Position Summary

Maintain data, create and manage new data systems and facilitate data access. Records, reconciles and facilitates the acknowledgement of gifts to Walla Walla University. Creates and distributes reports and assists with the department's office operations as directed.

Essential Responsibilities

  • Maintain the donor and alumni database, ensuring continuous review, updates, profile completeness, and valuable information
  • Identify and create procedures, tools, and protocols to maximize the efficiency and reliability of data
  • Creation and management of reports needed to support office missions
  • Add missing records to the database in collaboration with the Records Office and other campus departments
  • Collaborate with other internal data teams to translate needs and implement integrations in Slate software
  • Creation and management of tools in Slate to support office team members
  • Support logistics, mailings, and communications
  • Maintain the office webpages and information
  • Strategize ways to integrate AI tools to maximize efficiency
  • Ensure that gifts are quickly and accurately coded, categorized and entered into university gift management database systems
  • Manage automated clearing house (ACH) e-check and credit card charitable contributions
  • Work with banks, credit card companies, matching gift organizations and investment firms to authorize, transfer and accurately record donors' charitable contributions
  • Process recurring, payroll and matching gifts, and provide reports to donors
  • Assist with timely distribution of donor acknowledgements such as tax receipts and acknowledgement letters
  • Record in-honor and in-memory charitable contributions
  • Receive and acknowledge gifts in kind and provide guidance regarding IRS regulations and university policies
  • Work with the Accounting Office to ensure accurate general ledger entries
  • Monitor and adjust pledge balances and provide pledge reports to donors
  • Establish and maintain Advancement Office fund accounts for charitable gifts
  • Maintain charitable contribution documentation
  • Create and distribute gift management reports as requested
  • Supervise student workers for data and gift processing
  • Answer phones and greet departmental guests
  • Maintain supplies, inventory and ordering
  • Assist with gift acknowledgement inventory management
  • Help with Alumni and Advancement Services department events and activities
  • Adhere to WWU's policies for conduct, daily processes, and risk management

Qualifications

  • Minimum combination of education and experience; Bachelor of Science in Computer Sciences, Business Data Analytics or similar preferred
  • 1-3 years experience, 3-5 years preferred
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel and Access)
  • Familiarity with website development applications (Typo 3) and PeopleSoft database preferred
  • Understanding of or willingness to learn Slate software
  • High level of attention to detail and accuracy
  • Strict confidentiality when handling sensitive financial data
  • Strong customer focus and communication skills
  • Collegiality, initiative, efficiency, and coachability
  • People management skills
